Data Entry: When to Use and How To Set Back Date

Client data may be entered “live time”, meaning at the same time the user is receiving information from the client. The Back Date feature allows the user to enter information into the client record for a date prior to the current date. The Back Date Mode is always used when data is entered on a different day from the day it was received.

This is a vital part of ensuring the data entered into the system is entered correctly. HUD data standards require that data be date-stamped with the date on which the data was received.

To set the back date, click Back Date which can be found in the upper right corner of the screen.  

The Back Date Mode popup screen will appear.  The date can be manually entered or it can be selected from the calendar to the right of the date.  Once the correct date has been entered, click Set Back Date. In this example, the client shared information with the user on 5/3/2021. The user is entering that information into AKHMIS at a later date, but the user is setting the Back Date so the data is date-stamped appropriately.
