Data Quality: How to Correct A Housing Move-In Date Error

Not all missing 3.20 Housing Move-In Dates (HMI Date) are errors, even if there is a flag on a report showing a “null” or “missing” HMI Date. If there is not an HMI Date, this may simply indicate the organization is still working with the client to find housing. Please review all clients without an HMI Date to confirm they are not housed and/or the program did not house them.

If a client exited without being housed while in an organization’s program, the HMI Date should be left blank.

Please note, only permanent housing projects should respond to the HMI Date data element. Any project types that do not appear on the list below should leave the HMI Date answer blank.

Permanent Housing-Housing Only

Permanent Supportive Housing with Services (disability required for entry)

Permanent Housing with Services (no disability required for entry)

Rapid Rehousing

 

Adding a 3.20 Housing Move-In Date

The HMI Date is completed on the Entry Assessment or Interim Update and needs to be between Project Start Date and Project Exit Date.

If Project Start Date equals HMI Date:

1.       Navigate to where the organization records Entry/Exit.

2.       Click the Edit pencil  to the left of the Project Start Date to open the entry assessment.

 

3.       Click Save & Continue in the first pop-up.

4.       Complete the intake assessment and include the Housing Move-in date.


If Project Start Date does not equal HMI Date:

1.       Click the Entry/Exit tab.

2.       Click the Interim Update icon .

a.       Click on Add Interim Review and follow prompts (Interim Review Type = Update).

b.       Click  Save & Continue.

3.       Respond to the missing data element(s).

4.       Click Save & Exit.

 

Fixing 3.20 Housing Move-In Date Errors

If an HMI Date has a value that is earlier than the client’s Project Start Date, this will cause an error. As defined above, the client’s HMI Date needs to be between Project Start Date and Project Exit Date. If an HMI Date has been entered that occurs before the Project Start Date (even by a minute), an HMI Date on or after Project Start Date needs to be entered for the client’s housing status to be reported on accurately.

To resolve this error, please follow these steps:

1.       Add an HMI Date to the client’s Entry/Exit record. Use the instructions in the above section, “Adding a Housing Move-In Date”.

2.       If an end user at the organization entered an incorrect HMI Date, delete the incorrect value so as not to confuse reports.

a.       EDA to the provider that created the data. If deleting data, the user must be in EDA mode to the provider that created the data.

b.       Search for, and enter, the client record that needs data deleted.

c.        Although there is more than one way to complete this, click the Assessments tab and open the program’s Entry Assessment (often has “All Inclusive” in its name).

d.       Click the red or green history bar to the left of the HMI Date data element.

e.       Click on the trash can  next to the value that should be deleted.

f.         Exit the client record after deleting the data.
