Data Entry: How to Record When A Client Exits Before Other Household Members

During a household’s time being served by a project, one or more members may leave a household before the rest of the household. This article shows how to exit a household member while other members remain enrolled in the project.

Note: There must be a single Head of Household (HoH) identified at project start that remains throughout the entirety of Entry/Exit record. If there are changes to the HoH, please contact ICA for specific guidance based on the specific scenario.

Exit client before other household members leave

1.       EDA to the provider that the client is exiting from.

2.       Search for and open the client's record.

3.       Set Backdate to the date the client left the project.

4.       Navigate to the Entry/Exit tab.

5.       Locate the project the client is exiting and click on the edit pencil  next to the blank Exit Date. This opens the Edit Exit Data pop-up window.

6.       Uncheck any other household members who are NOT leaving. There should only be a check-mark next to the client(s) leaving the program.

7.       Complete the exit data for the client.

8.       Click Save & Continue.

9.       Complete the Exit Assessment. Update required fields.

10.   Click Save & Exit when complete.

 

IMPORTANT NOTE ABOUT EXITS!

·         DO NOT delete or remove the client from the household when exiting them!

·         ONLY record an Exit Date if the client is leaving.

·         Deleting a household member deletes previous associations and may cause errors on reports.
