Reporting: BusinessObjects - How to Run a Report in "View" mode

his guide is designed to provide a basic overview of running reports in BusinessObjects using "View" mode.

Running a report in Schedule Mode

Initiate Viewing Report

On the row for the report to be run, click on the ••• button on the right to open the options menu for the individual report.

In the dropdown, select View to initiate scheduling the report.

Click Run to begin running the report. When the report finishes running, it will open in the Report Viewer. 

Navigating the Report Viewer

The upgraded report viewer utilized by BusinessObjects has had a substantial layout change compared to ART. The screenshot below shows the most commonly used functions.

Additional File Options Menu
To save a report so it can be used outside of BusinessObjects, click the ••• button, then go to Export.  Exporting has replaced "Save to my computer as..." and "Save report to my computer as..." in ART. Step-by-step instructions for exporting reports are available below.

Report Refresh
Use this button to bring up the report prompts again, set/change them, and then re-run the report. In ART, this button said "Refresh All" and was in the upper right corner.  This does not trigger a rebuild of the BusinessObjects data warehouse.

Filter & Input Control Toggle
This button toggles whether the Input Controls are shown. The toggle to show/hide input controls was located in the bottom left corner of the screen in ART.

Input Controls
In ART, report tabs were displayed along the bottom of the screen while viewing the report, but they have been moved to the top of the screen in BusinessObjects.

Display & Page Navigation
Display settings and page navigation controls can be found at the bottom of the screen but show only when the user's mouse is near the bottom of the screen. If the controls are not visible, move the mouse to the lower center of the screen and the controls should appear. 
  

Exporting a Report

Exporting reports from BusinessObjects while in the viewer is a five-step process, outlined below.

Click the ••• button in the File section of the ribbon.

Select Export in the dropdown.

Select the desired format for the export. ICA generally recommends Excel. Any option can be used, but the report template formatting is optimized for Excel.

Select the report tabs that should be included in the export. ICA strongly recommends that the Additional Information tab be included in the export if one is available, as that helps ICA troubleshoot any potential issues with the report, should any arise.

Click Export. Once the report has finished exporting, the user may be prompted to save or open the file (depending upon their browser settings). 
Warning! If a report contains personally identifying information about clients, it can only be transferred via secure methods and only to entities authorized to receive it by your agency's and AKHMIS policies and procedures.

Troubleshooting

Error

If the following message is received:  Internal Error ("Cannot create XML InputForms Element. (Error: ??? 00000)") when attempting to open a report in View mode, please use the contact the  AKHMIS Help Desk to request assistance. In the message to the Help Desk, please specify the name and location of the report for which this error was received so our reporting team may investigate the issue promptly.
